The Archdiocese of San Francisco is seeking a qualified full-time Administrative Assistant for a temporary assignment to support the Communications Sales Manager for the Catholic San Francisco newspaper. We offer a competitive salary in a non-profit environment. This position located is in the Cathedral Hill/Pacific Heights area and includes free, gated parking. The location also has convenient access to public transit. As this is a "temporary" position, it is not eligible for benefits except those required by law.

TITLE: Advertising Coordinator - Temporary

REPORTS TO: Manager of Sales for the Catholic San Francisco Paper

LOCATION: Archdiocese of San Francisco Pastoral Center

STATUS: Full-time, Non-Exempt (Non-benefited position)

PRIMARY FUNCTION:

This temporary position is responsible for the coordination and processing of the Advertising correspondence and related Accounts Receivable/Accounts Payable functions in the Communications Department. Those activities include receiving and processing all checks and credit card transactions; weekly deposit submission. Providing advertisers and Parish contacts with outstanding customer service over the phone and in all written correspondence. Maintain database for all advertisers and contacts on an accurate and timely basis.

Responsibilities include:

Answer Catholic San Francisco newspaper main telephone line and direct calls as needed with excellent level of customer service.

Process Billing, maintain Accounts Receivable and Accounts Payable on a current basis

Manage Advertising Databases accurately and on a timely basis

Manage Online Business Directory Advertising and billing

Design and update Marketing and Promotional fliers monthly

SUCCESSFUL APPLICANTS MUST HAVE THE FOLLOWING QUALIFICATIONS:

Successful candidate must contribute to fulfilling the mission and goals of Catholic San Francisco as an award-winning newspaper and a key social communications ministry of the archdiocese.

Bachelor of Arts or Bachelor of Science degree or equivalent experience.

Minimum of 3 to 5 years experience as administrative assistant in professional office environment.

Excellent computer skills with sound knowledge of MS Word, Excel, PowerPoint and Outlook required. (Minimum typing speed: 60 WPM)

Working knowledge of maintaining a database accurately

Excellent verbal and written communication skills with a demonstrated ability to compose professional correspondence. Bi-lingual Spanish communication skills a plus.

Possess a high level of organizational ability and ability to identify, set and maintain priorities. Ability to multitask effectively is a plus.

General knowledge of accounts receivable, accounts payable

Ability to make independent decisions within assigned area of responsibility, work without close supervision and efficiently multi-task

Must demonstrate the ability to work with a high level of accuracy and attention to detail.

Experience in working with confidential matters and displaying professional discretion at all times.

Proven ability to work collaboratively and harmoniously with others.

Present a welcoming face/voice to visitors and callers

Practicing Roman Catholic in good standing with the Church.
