Job Description:
We are seeking a highly energetic, Advertising Media Buyer/Account Coordinator*. Responsibilities will be the day-to-day management of an extremely busy executive. Person will handle a wide variety of complex and confidential matters, exercise considerable judgment and discretion in completing assignments and function as the right arm/gatekeeper.
Responsibilities:
Coordinating progress on tasks assigned by the CEO to other managers/employees
Ensuring all tasks are being monitored with regular follow-up information given to CEO
Updating/keeping track of CEO's calendar and activities; ensuring that requirements of all such activities are being met prior to calendar events
Taking care of all of CEO's mail and email, with proper action on any mail/email items
Taking meeting minutes of all meetings involving CEO
Ensuring compliance with deadlines
Monitoring of all critical dates related to CEO's and selected company's activities
Screen telephone calls and maintain files
Responsible for confidential and time sensitive material
Requirements:
Excellent work ethic
Position is 100% computer-dependent. Excellent command of all common computer skills (word processing, spreadsheets, slide presentations, web searches) is required, with a minimum typing speed of 45 words/minute
PC & Apple computer environment
Experience in customer service and sales preferred
College Degree in Marketing/Advertising/Business/Communications preferred
Excellent critical thinking, and critical data analysis
Ability to analyze financial spreadsheets (very important)
Excellent letters of recommendation/references (minimum of 3)
Minimum experience for 5 years in executive-level positions
Bi-lingual (English, Spanish) preferred;
Minimum experience in HR is not required, but preferred
Perfect background check results
This is a challenging position, and the qualified candidate selected for this position will quickly become a very important asset of the company, as he/she will function as a 'helper' to the CEO, and also as a coordinator between the CEO and the rest of the world (both inside and outside the company). A good candidate should be experienced, very energetic, self-motivated and able to multi-task using critical thinking. Interview is full day, and it involves several short interviews and tests.
