Executive Assistant -- Advertising/Marketing

We have an exciting Executive Assistant opportunity for a seasoned pro who really understands how to partner with high level executives on all key administrative matters. This role requires a professionally mature individual with excellent organizational skills and enough confidence to be resourceful and take ownership. We're looking for someone with a strong work ethic who can work independently, prioritize well, anticipate needs, and be a highly collaborative member of the Admin team. The Executive Assistant is an important role in our company and a valued partner of our Execs. This position will provide a full range of administrative support to the CMO and the GM of Advertising. Here's more about the primary responsibilities:

Executive Support

Heavy calendaring and total management of Exec's schedule. Keep Exec on time, on track and act as gatekeeper

Prepare, collect and proof briefing materials, agenda and decks in preparation of all Exec-level external meetings

Complete expense reports, credit card statement reconciliation, purchase requisitions and invoice processing.

Book complex and frequently changing travel itineraries -- domestic and international

Some personal errands and support

Serve as a trusted confidant for employees and provide feedback to management as appropriate

Coordinate with EAs, HR, Finance and other staff. Provide back-up/vacation support to other EAs as needed.

General Administrative Support

Full event planning for department off-sites, morale/team building events, social events, team dinners, etc.

Monitor department spending and budgets on a monthly basis

Assist with department recruiting and candidate management throughout the interview process

Manage on-boarding and training schedule of new departmental hires

Manage agenda creation, draft minutes and track action items for weekly departmental meetings

Support and serve as a resource to Exec's direct reports and department staff

Advertising Specific Support

Contract management and tracking in coordination with General Counsel

Pull reports, track and enter data in Salesforce.com

Coordinate Exec level customer meetings and promotional events

Plan and manage two Sales Kick Off Events annually. Travel required to events.

Maintain advertising sales materials and reference library in coordination with Marketing and Advertising Operations

Marketing Specific Support

Update and manage the master marketing calendar

Logistics support and coordination for external marketing events, speaking engagements, promotions and trade shows. Some travel to events may be required.

Source manufacture of promotional materials and sales premiums

Required Skills and Experience

Minimum 5 years Executive Assistant experience supporting senior/C-level Executives*

Advanced proficiency with Outlook, Word, Excel and PowerPoint software applications *

Ability to maintain strict confidence and discretion around highly sensitive information*

Initiative, accountability and willingness to do whatever it takes*

Excellent organizational skills & strong attention to detail. Accuracy is a must!

Ability to manage multiple complex projects on time, accurately, and within budget

Exceptional customer service mindset -- across all functional areas and locations

Experience negotiating with vendors and contracts

Wide ranging event management experience*

Genuine comfort in a fast paced, rapidly changing environment

Ability to work over-time as business demands require*

Resourceful problem solver

Desired Additional Skills and Experience (but not required)

Bachelor's degree strongly preferred

Experience using Salesforce.com

Corporate travel management including any of the following: travel agency management, contract negotiation, corporate frequent flyer programs, and iBank travel reporting

Previous trade show coordination experience

Ability to travel occasionally for events

High tech industry and/or start up experience
