Due to the consistent growth of our core business, Maxx Marketing has an immediate opening for a full-time Executive Administrative Assistant at our Los Angeles Office.
Job Description
Maxx Marketing is seeking a bright, multi-talented Executive Assistant to support our Regional Director. We are looking for someone with dynamic interpersonal skills, who is creative, detail-oriented, self-motivated, positive, can carry projects through to completion with minimal direction and can handle a fast-paced, multinational environment. This position is responsible for office administrative duties, project management, and executive assistant functions. Previous experience required.
Key Responsibilities and Accountabilities
General Office Administration Responsibilities:
Vendor and Supplier contract negotiation and relationship management.
Create, organize and manage vendor files.
Coordinate travel arrangements.
Review purchase request and generate purchase orders for approval.
File expense reports.
Occasional personal assistance duties.
General office management.
General bookkeeping duties a plus
HR Assistant Responsibilities:
Recruitment: Support HR recruitment efforts, job postings, identify qualified candidates.
Interviewing: Conduct preliminary interviews with potential candidates.
New Hires: Create offer letters and set up new hires upon arrival, including orientation and benefits review.
Internship: Implement program according to agency needs. Recruit and manage interns during their tenure.
Company event planning: Holiday and birthday parties, group functions, and employee appreciation.
Project Management Responsibilities:
Assist in research on trends and pop culture for New Products Database.
Studio coordination, including meetings and product approvals.
Script review: attend studio previews, read scripts, summarize property information and disseminate to sister offices.
Research and Presentation Development: supporting sales and marketing team in business development efforts including, presentation development, RFI/RFP's and agency pitches.
Skills/Experience Required:
The right candidate will be an effective communicator with an entrepreneurial mindset, creative, and solutions minded. Must be able to work in a fast-paced, deadline-driven environment. Previous experience in office administration and project management preferred, but not required. Must possess a BA degree, preferably in a related discipline.
Internet savvy with strong computer skills including MS Office Suite.
Legal or legal secretary experience a plus.
Proactive and resourceful, with strong organizational skills.
Multi-tasking ability - able to juggle projects to meet deadlines.
Professional demeanor and ability to maintain confidentiality.
Great people skills and a good listener.
Process focused with the ability to create efficiencies.
