We are currently seeking a talented professional with experience in the areas of administrative assistance and public relations.
Job Description:
K Strategies has a dynamic, innovative and fast-paced work environment, and this position will enable the candidate to understand the ins and outs of working for a full-service public affairs firm. Responsibilities of the candidate may consist of the following:
Conduct and manage administrative and office duties including:
Answering company phones, welcoming visitors and handling correspondence in a very professional manner
Conducting administrative duties for President of the company
Managing company accounting files including creating invoices, credit card receipt reconciliation and other accounting records in QuickBooks
Creating transmittal letters and other mail and e-mail correspondence
Developing administrative forms and report templates (in Microsoft Word and/or Excel and Adobe Illustrator and/or InDesign)
Creating Excel spreadsheets and tracking data and numbers
Assembling information and reports for managers (in Adobe Illustrator and/or InDesign)
Handling printing, courier and mail order jobs
Managing office equipment, maintenance and supplies including: printers, copiers, telephones, computers, etc.
Managing office and kitchen supplies, and keeping both areas clean and organized
Participating in a professional manner in meetings with owner, clients and subconsultants
Handling correspondence in a very professional manner with clients, businesses, community stakeholders, the public, public officials and community groups
Staying current on community, client and project issues
Provide assistance with public relations projects including:
Creating flyers and marketing pieces (in Adobe Illustrator or InDesign)
Recording (taking) professional meeting minutes
Proofing, reading and editing reports, newsletters and other documents
Coordinating site logistics and other special event planning
Taking and coordinating RSVPs for meetings and events
Managing registration at public meetings, networkers and other special events
Creating PowerPoint presentations
Conducting research and presenting efficient information and conclusions
Creating stakeholder databases and vendor lists
Editing content on project websites
Job Requirements:
Criteria we are looking for in applicants include:
2-5 years of full-time employment experience as an administrative and/or public relations assistant or related areas in a professional setting dealing with clients and C-level executives
Some college courses completed or college degree
Good writing and communications skills (writing samples required)
Experience with QuickBooks
Strong experience in Microsoft Word, Excel, PowerPoint and Outlook
Experience in Adobe Creative Suite (InDesign, Photoshop and Illustrator)
Experience in handling online Internet research, resources and other electronic tools
Extremely detail-oriented and strong organizational and time-management skills
Proven ability to handle multiple tasks and projects concurrently while meeting deadlines
Sharp, quick and critical thinking skills
Strong experience with numbers, quantitative data, calculations and figures
Professional demeanor, image and dress attire
Fast learner and able to complete work quickly
Experience working in a fast-paced work setting
Great ability to be flexible and adapt to change as needed
Outgoing personality, confident and great people skills
Hard working and team player
Ability to occasionally work evenings and/or weekends, as needed
Familiar with the Dallas/Fort Worth area and community
Bi-lingual in Spanish (a plus)
