Position Summary:

This position reports to the Development Manager in coordinating the community, and development Events. In addition, this position handles back-stage hospitality needs for all Center presented events and contracted artist requests through the Theater Sales department.

Position Requirements:

Essential Functions: Duties may include, but are not limited to the following:

Assist the Development Manager in the coordination and production of all Community and Development Events

Coordinate invitations and maintain guest lists

Coordinate design and printing of event materials with Development Manager

Coordinate facility reservations completing all necessary CCAE forms

Schedule and coordinate Event planning and evaluation meetings

For in-house catering: create Banquet Event Orders and coordinate with the Conference Center on events

For vendor catering: coordinate food and beverage orders

Identify vendors, and maintain vendor binder with current information to contact as appropriate

Order/coordinate catering and set-up for Cal Club events

Serve as point of contact for banquet or catering staff

Maintain and build new relationships with local hotels and restaurants

Assist in identifying prospects and securing support and in-kind contributions

Assist in defining sponsorship opportunities

Attend on-campus and off campus events related to position

Coordinate preparation and completion of donor fulfillment packages

Assist in planning and production of volunteer recognition events

Assist in preparation of event and department budgets

Assist in preparing event reports

Submit check requests for Events

Work with board members and other volunteers as directed

Provide updates for annual events calendar

Assist with contacts between department, artists and vendors

Create and maintain files for Community Events, Development Events and contracted artist requests

Point of contact for day of show backstage catering

Coordinate meal, transportation and rooming needs, according to budget and contractual agreements

On-site "runner" during events

Other Responsibilities:

Assist in the distribution of CCAE collateral and materials on campus and in the community

Assist with the recruitment and training of volunteers

Organize the development work area and storage area

Provide back-up front desk duties as required

Attend weekly Event Management meeting

Attend BEO, Employee Relations Committee, Safety Committee and Access Committee meetings as directed

Work Schedule:

As an exempt employee, at minimum, employee will work forty hours per week and will be required to work after hours, weekends, and holidays as necessary to meet the demands of this position.

Qualifications:

High School Diploma or Higher

Minimum 2 to 3 years of experience in fundraising with a record of quantifiable success

Passion and drive for the Center's mission and values

Experience cultivating, soliciting and stewarding prospects; securing support of gifts and in-kind contributions

The ability to plan, set goals and objectives, organizes, and follow through

A strong interpersonal and communication skill set and demonstrated ability to work effectively with and gain the respect and support of varied and changing constituencies including staff, board members, potential donors, volunteers and the like

A track record as an effective communicator skilled at writing as well as verbally

Ability to juggle many responsibilities at once and to operate both independently and hands-on with the flexibility to be part of a team

Strong computer skills and donor database management

Preferred: Experience with the Arts arena

Proficient in Microsoft Office
