New to South Orange County, the Aliso Viejo Conference Center is as appealing for premier weddings as it is for corporate and local community social events. With the neighboring golf course as a backdrop, the outdoor stage is set. Owned by the City of Aliso Viejo, the Center's Mediterranean-style building features a vaulted, wood beamed ceiling and neutral color scheme and that provides the perfect style for any event, from casual to opulent for up to 300 guests. The outdoor patio connects to the ballroom, allowing a smooth transition to the reception. Natural light flowing in through multiple glass doors and windows gives the room its open airy feeling. There's plenty of room for dancing indoors, but on a pleasant evening guests are more likely to head for the patio, where they can enjoy the starry night sky and views of the neighboring palm tree lined Aliso Viejo Aquatic Center. Position Summary:
This position is responsible for the development and implementation of sales and marketing strategies, plans, and programs primarily designed to maximize revenues, and promote a positive image of the facility. Responsibilities include the implementation of various strategies including direct and/or telephone sales, direct marketing communications, advertising, special event promotions, public relations, media relations, and community & municipal relations, etc. Responsibilities also include conducting periodic market research to provide information essential for revising current programs, which enhance the Company's competitiveness in the marketplace, as well as for fiscal and operational analysis as appropriate.
Essential Duties and Responsibilities:
- Develop and implement sales, marketing and public relations plans and strategies which serve to increase community events, weddings, business meetings, private parties and all other special events, promote a positive Company image, and maximize revenues according to overall fiscal and operational budgeted goals.
- Work with the corporate marketing department and/or outside agencies to create appropriate and consistent advertising and sales material/messages consistent with the overall branding strategy
- Build relationships with event coordinators, media, hotels, convention contacts, corporations, civic organizations, etc. to promote group gatherings, special events, and business meetings.
- Involvement with at least one community networking group and three annual bridal expos.
- Manage a master calendar to organize facility events, group banquets, special events and meetings.
- Manage communication between departments to help ensure coordination of activities.
- Make a minimum of 30 -- 40 outbound sales calls weekly
- Use ACT or sales software to track leads, deposits/payments, contacts and log communication
- Maintain positive relationships and communicate clearly, tactfully, and persuasively with employees, customers and outside contacts as applicable
- Monitor facility activities to improve customer service and/or operational efficiencies
- Work with the Food and Beverage Managers, Chef and others to schedule/coordinate personnel requirements for functions
- Develops banquet event orders, contracts and necessary paperwork for all events.
- Serves as a wedding coordinator from the booking date thru the actual day of celebration, makes recommendations, holds menu tasting, coordinates ceremony rehearsal and day of ceremony and organizes the grand entrance.
- Serves as liaison between the booking client and the food and beverage team.
- Provide setup diagrams buffet tables, guest tables and other function room set-up needs for special events.
- Holds weekly BEO meetings with managers to ensure smooth, efficient service.
- Represent the Company in meetings and/or presentations with various clients, municipalities, and other outside agencies regarding the marketing related plans and strategies.
- Review and analyze internal and external market information, which reflects customer purchase, usage, and satisfaction with Company products and services. Monitor and track results of marketing and sales efforts, analyze budget variances and recommend revised action plans to achieve budgeted goals.
- Maintain knowledge of current and projected industry developments through continuous attention to marketing and golf industry periodicals and participation in relevant trade organizations.
- Assure the efficient and timely submission of all required operational, financial, budgetary and related marketing and sales reports.
- Conduct sales tours of the facility and attend occasional bridal shows to generate leads.
- Perform other duties as appropriate.
Qualifications:
- BA or BS degree preferred.
- 3-5 years applicable marketing, sales, and management experience, preferably in the hospitality or wedding industry.
- Demonstrated experience and capability in the areas of budget development, fiscal management, strategic planning, staff management, marketing, sales, public relations and community relations.
- Demonstrated quality written, verbal, and interpersonal communication skills.
- Ability to analyze and solve problems; efficiently handle multiple duties under pressure with minimal supervision; work flexible hours as required including nights/weekends.
- Positive attitude, professional manner and appearance in all situations.
