The Convention/Events Planner/Specialist role manages the tactical planning and execution of a variety of exhibits, meetings, and/or events for a wide range of audiences, inclusive of the following: medical exhibits/symposiums, customer events, advisory boards, speaker trainings, lab tours, and sales meetings. This will include, but not be limited to, negotiation of exhibitor/hotel/vendor contracts, securing site selection/booth space, speaker/advisory board contract implementation, supporting marketing needs and materials, logistics requirements, travel arrangements, and association sponsorships. In addition, this position will support the Director of Marketing Services in the development of our marketing strategy to optimize our presence at relevant medical exhibits/meetings/events, executing all elements required to successfully promote our products. This will require successfully working across multiple departments including Commercial Marketing/Sales, Corporation Communications, Medical Affairs, and any other department involved in the planning/attendance of the exhibit, meeting, and/or event. Depending upon the type of function, this position will interact and work with Genomic Health's customer base.

The ideal candidate will have at a minimum 3-7 years of experience in exhibit/event planning experience, managing a variety of exhibits, meetings, and events. This individual will be required to supervise outside vendors, provide counsel/recommendations on appropriate plans and professionally interact with various levels throughout the organization. The candidate must demonstrate the ability to represent GHI in a highly professional capacity to outside groups including research collaborators, potential business partners, physicians' in a variety of specialties, government officials, consultants, and the media.Planning of exhibits, meetings, and/or events as defined above. Flexibility to travel will be expected in this role to support the activity and ensure successful execution of the event. Travel will be based on onsite event needs and determined by the nature of the event and department event schedule.Proactively research and maintain a current database of possible meetings, events, trade shows, and other relevant industry gatherings. Manage relationships and contracts with third party vendors (trade show associations, convention centers, hotels, and other venues) sponsoring or hosting selected events. Coordinate contracts, authorized signatures, counter-signed copies, deposits, and other documents required to secure space and rates for Genomic Health. Negotiate best rates with all third parties. Manage budget planning/reconciliation for exhibits, meetings, and or events. Monitor monthly budget and financial reports for accuracy, research, and monitor corrections to ensure functional targets are maintained. Drive planning for individual exhibit, meeting, and/or event with appropriate internal staff and third parties as necessary. Define and implement timelines, action plans, logistical requirements, registration/contracting process and provide the on-site management required, to successfully produce each event.Participate in the development of metrics and reporting to ensure the development of best practices, standards, and policies. Ability to manage concurrent meeting projects, and prioritize multiple tactical milestones to achieve successful outcome. Must be willing and able to take initiative and anticipate issues with a positive solution.Excellent skillset required in the following areas: planning, organization, project/vendor management, and people interactionSolid working knowledge of hotel industry and exhibit industryREQUIRED EXPERIENCE, EDUCATION AND/OR LICENSES/CERTIFICATIONS Bachelor's degree in Hospitality, Hotel Management, Business, or other related field or equivalent required with a minimum of 3-7 years of relevant work experience in exhibit/meeting/event planning. Previous experience managing medical/healthcare/pharmaceutical exhibits/meetings/events required. Particular expertise in advisory board and speaker training planning and understanding of compliance/contract requirements preferred. Strong negotiation skills including evaluating/contracting with vendors.
