Arapahoe House is currently seeking a Departmental Assistant (Administrative Assistant) to join our Administrative Services team.

This full-time position works 8:00am -- 5:00pm Monday through Friday and relieves managers of administrative and business detail by performing the following duties.

Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.

- Is designated recording secretary for the Arapahoe House Foundation Board of Directors and is responsible for meeting needs of Board as directed.

- Is responsible for gathering information for reports for the Board Packets. Is responsible for mailing the information packets to both Boards of Directors each month and uploading to ShareFile.

- Is responsible for publishing the Weekly newsletter for staff.

- Coordinates and arranges meetings for Real Estate Committee and Leadership group, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings as required.

- Coordinates & is responsible for event planning for miscellaneous events as assigned. Such as: Employee Recognition Event, Employee Lunches, Applause Recognition and is able to be assigned other events as needed. When working with the Applause Recognition event there will be added responsibility of notifying Payroll of the winner's name and dollar amount of the gift so the appropriate tax information is recorded.

- Is the main back-up to the receptionist.

- Is back up, when needed, to CEO/COO if Executive Assistant is unavailable.

- Organizes and maintains file system, files correspondence and other records and maintains archives for the department.

- Responsible for the ordering of agency stationary.

- Maintains petty cash fund for Administrative Services.

- Composes and types correspondence when needed.

- Makes copies of correspondence or other printed materials.

- Arranges for copier repair, maintenance and supplies for Lipan Board Room Sharp Printer which is located near the cafeteria.

Qualifications: The requirements listed below are representative of the knowledge, skill, and/or ability required to successfully perform this job.

Education/Experience:

- Bachelor's degree; or one to two years related experience and/or training, including experience working with boards of directors, or equivalent combination of education and experience.

Certificates and Licenses:

- Valid Colorado driver's license

- Some driving is required

Computer Skills:

- Excellent computer skills including proficiency in Microsoft Office, internet research & transcription skills.

Language Ability:

- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.

- Ability to write reports and business correspondence.

- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Math Ability:

- Ability to calculate figures and amounts such as percentages. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:

- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
