Events Manager

Full-time, Non-exempt classification

Reports to RMC Health Vice President of Operations

RMC Health is a private, nonprofit corporation whose mission is to strengthen the effectiveness of those working to improve the health and well being of children and youth. RMC Health conducts various professional development events through grants and contracts for professional services. Events are offered in-person and through distance learning opportunities and can vary greatly in size.

Event Planning and Administration

Manage all logistical aspects of professional services and industry tradeshow events (i.e. arrange catering and audiovisual equipment; ensure appropriate set-up and decor to meet RMC Health quality expectations)

Conduct research, make site visits, and find resources to help staff make decisions about events

Schedule trainers and their travel (air, mileage, per diem, hotel accommodations)

Communicate all aspects of event details with site(s) and RMC Health staff and trainers

Assist with managing on-site set up, production and clean up for events as needed

Assist with preparing budgets and provide periodic progress reports to RMC Health Leadership

Work with staff and trainers to ensure a high quality event

Coordinate and process continuing education credits, as needed

Keep track of event finances including check requests, invoicing, and reporting

Contract Management

Develop and prepare Professional Services Contracts with customers

Negotiate and book training and meeting facility contracts for event and tradeshow space

Develop and prepare contracts for external trainers, when needed

Maintain contractual records/documentation, such as contract correspondence, customer contact information, contractual changes, status reports and other documentation

Close out all events as required, including working with the Vice President for Operations to invoice for final payment, respond to all final billings

General

Act as Team Lead to coordinate all aspects of event registration and preparation

Maintain RMC Health's Event Calendar

Other duties as required to ensure RMC Health effectiveness and efficiency

Travel, in-state and out-of-state, as needed

Knowledge and Skills Required

Exceptional customer service ethic and high expectations for quality

Excellent verbal and written communication skills

Ability to accomplish projects with little supervision and manage multiple projects and assignments

Ability to thrive in a collaborative, team environment

Bachelor's degree preferred; significant work experience can substitute for the degree

At least 3 years experience with office administrative management

At least 2 year experience coordinating special events

Experience with SalesForce.com is desired
