This position will report to the Meeting and Event Coordinator. Liaison to President and Board of Directors, members and internal and external staff. Highly visible position within the company. Opportunity to learn and advance in this position.
Qualifications and Requirements for this position are:
4 year degree.
1 to 3 years related experience in a professional office setting a must.
Meeting and Event Planning exposure is preferred.
Ability to manage multiple priorities and projects simultaneously.
Proficiency in MS Office software.
Advanced skills in Excel.
Professional Demeanor.
Articulate with polished interpersonal skills.
Specific Responsibilities: Extensive Training!
Will support the Meeting and Event Coordinator in day to day administrative tasks and assist in the following areas:
Pre-Event:
Coordinates meeting requirements for on-site and off-site locations.
Participates in review of contracts
Participate in meeting and event planning.
Monitors time-lines for multiple event and meetings
Maintains various Excel spreadsheets.
Coordinates the menu/food selections and ensure room set-up
Coordinates space and logistical arrangements for meetings.
Develops strong relationships with members and vendors.
Communicates with staff and attendees concerning travel-related information,agenda and meeting logistics.
On-site:
Manages the delivery of all related services for on-site and off-site meetings.
Works with local vendors to provide services.
Assist in reviewing and approving expenses.
Assist in meetings and events.
Organization Support:
Assists in preparing and printing mail merge documents as directed.
Assist in updating files and records.
Administrative support to Coordinator.
Maintains meeting and event calendars.
