We have an exciting opportunity for a Registration and Data Manager who loves detail and enjoys traveling. The position is responsible for supporting the Operations Team in planning successful conferences and event programs by managing the registration process while maintaining a high level of customer service to the client, attendees, speakers, sponsors and exhibitors. This is a salaried position with full benefits.
Responsibilities Include:
Oversee and monitor attendee registration process and update Account Manager, Client and Suppliers as needed.
Assist Account Managers with development, planning and execution of all programs.
Attend initial creative meeting between Account Manager and Coordinators.
Provide weekly registration updates to Account Manager and Client, including status of pending Board, Sponsor, Exhibitor or Speaker registrations.
Oversee the design and creation of online registration forms and all registration related communications and data using Ungerboeck software. Consult with Account Manager to monitor deadlines and schedule registration fee increases accordingly.
Work directly with Account Manager and Coordinators prior to website development to assess program reporting needs.
Create and quality control hotel rooming list, obtain weekly hotel room pickup reports, reconcile against hotel reservation list. Ensure all special requests noted and requested.
Ensure arrival/departure air manifests are accurate.
Correspond with vendors as needed.
Create Volunteer Schedule for Registration Desk and train onsite volunteers.
Coordinate assembly of welcome packets for onsite distribution, as required, to include ordering materials through office supply vendor.
Travel and oversee Registration Desk for multiple day programs and single day events. Process onsite payments for full or partial registrations, as well as related social events or tours as needed.
Ensure distribution of exhibitor and attendee post-conference surveys and compile results.
Process sponsorship, exhibit booth and advertisement applications and invoice accordingly.
Assist Coordinator with sponsor, exhibitor and advertiser communications.
Manage and report on all data associated with registration processing including historical data to all stakeholders.
Qualifications:
1-3 years industry-related experience required (i.e. meeting planning, onsite logistics or meeting registration)
Bachelor degree preferred
Proficient in Microsoft Office 2007 programs, specifically Word and Excel
Experience with database and registration software
Knowledge and previous experience with room block management
Knowledge and previous experience with meetings, conferences and participant registration
Professional, positive oral and written communication skills and personable demeanor; comfortable in front-line position while onsite
