An established, dynamic consulting company with a modern, global view of the advertising industry is seeking a professional who is able to multi-task in a fast-paced environment as a Production Supervisor. This is a full-time position.
As a Production Supervisor with APR, you will be part of a team of production specialists. Your overall responsibility will be assisting the Brand Executive Producer ("BEP") in the successful management of the production for multiple brands in broadcast production. In conjunction with the BEP, you will work closely with the clients and their agencies to maintain standards of production in accordance with the production guidelines define cost benchmarks and assist in communication of best practices.
The scope of the Production Supervisor's responsibilities will include, but are not limited to:
Team management:
Schedule & records weekly team meetings
Manage SME assignments
Assist in the budget discussions (ballpark estimates) and bid negotiations with the agency business manager, producer and SME for both broadcast and digital productions.
Track team activity
Oversee client invoice approval
Oversee team travel costs
Assist in the budget discussions (ballpark estimates) and bid negotiations with the agency business manager, producer and SME.
Attend and facilitate (via conference calls) APR weekly status meetings to keep up to date on all projects.
Supervise the Production Coordinator.
Develop and share case studies across APR
Reporting:
Work with APR SMEs (TV, Print, and Digital) to evaluate all competitive bids for production companies, editorial, animation and music and stock footage licensing,talent agreements and digital SOW's.
Track (or oversee tracking of) estimates, costs, cost-efficiencies, projects and detailed deliverables across entire business unit.
Track for internal use unit costs for: Production, Editorial, etc
Oversee data entry into ART or other system as requested
Assist agency and Client with preparing budget, ballparks and managing timelines for digital, print and broadcast productions
Work with APR Production Subject Matter Expert (SME) (TV, Print, and Digital) to evaluate all competitive bids for production companies, editorial, animation and music and stock footage licensing, and talent agreements.
Wrap job and keep client job files current. Review final costs and invoices and understand all issues.
Review and track Creative Development estimates and work with client and agency to manage budget and understand invoices/costs.
Review/update advertising production guidelines on an as-needed basis based on SOW agreement.
Assist agency and Client with preparing budget, ballparks and managing timelines.
Assist agency with preparing/reviewing all estimates to meet the client deadlines.
Prepare and present reports as regulated by Client or assigned by BEP.
Create and maintain finance spreadsheets, job summary information, and Client production data.
Input Production data into APR Reporting Tool (ART)
Create weekly production activity reports
Client interaction:
Interface directly with client counterpart on process steps for estimate approval
Interface directly with client counterpart on process steps for invoice approval
Insure that APR bookkeeping has all necessary backup for client billing
Day to day contact with both the client and the agency regarding all production-related issues and estimates
Establish and maintain strong Client and Agency relationships
Provide key questions and guidance to client and agency on production issues related to process, timelines, costs, efficiencies and quality.
Recommend best practices throughout the process and define bidding guidelines as needed and consistent with client's agreements with its advertising agencies.
Review all schedules with SMEs. Facilitate communication between agency and client so that expectations are clear and met and the production is on time and on budget. Assist agency with preparing production schedules in client-friendly format.
Share participation in production meetings (from pre-bid or before to post) for the advertising campaigns and attend any pre-production meetings and shoots in conjunction with SME (as necessary and requested by client).
In conjunction with SME, participate in post-production process by reviewing rough cuts as necessary, reviewing overages and facilitating communication between client and agency regarding costs and schedule.
Attend Client meetings as requested by Client.
Review all smaller estimates and client invoices; issue reports.
Look for opportunities to leverage, archive and repurpose creative assets
Track value added defined as minimizing risk, improving processes, and managing expectations
Interface with internal client IT department to assist in coordinating and evaluating digital RFP's from agencies and suppliers to ensure compliance with client processes.
Help coordinate productions across brands, agencies and clients
Qualifications
Involved in national, large-scale commercial productions over $1 Million
12+ years experience in Ad Production
An understanding of advertising and marketing roles
An understanding of digital terms, processes, timelines and budgets
An outgoing, friendly, can-do personality
Computer proficiency (Internet, Excel (advanced), Word and PowerPoint A MUST)
Proficient at reporting, analysis & written communication
Must be willing to collaborate, be part of a team and share knowledge
Organized and detail-oriented
Must be able to work independently without day to day guidance
Can see big picture opportunities, as well as get into the details
Must be good with all types of people and all levels of management
A good communicator, both in writing and in person
Willing and able to travel, if necessary (3-5 times per year)
An understanding of or willingness to learn how to use online tools such as digital asset management, project rooms, FTP sites, etc.
