PURPOSE
The Primary responsibility of the Royalty Receivables/Licensing Intake Tracking Coordinator is to deposit and process royalty payments and void cash receipts in an efficient and timely manner. Additionally, the Royalty Receivables/Licensing Intake Tracking Coordinator will sort and track incoming licenses and distribute licensing requests to the assigned Licensing Agent as well as track the activity of the licensing process.
FUNCTIONS
Daily functions include, but are not limited to:
Collections
Ensure accurate Depositing and Posting of Royalty Payments by completing the following:
a.Deposit royalty payments via image scanning to transmit the cash data directly to HFA's bank
b.Match statements to checks and forward to the Distributions Department for processing
c.Generate transactional reports documenting the number of royalty payments and documentation history for all payments received.
Licensing:
Research and process Songfile verifications and publisher responses
Track manual license requests, manual license returns, eMechanical license requests and utilize findings to generate the weekly Intake Tracking report
Provide support to the Licensing Department in the absence of the Scanning / File Clerk by completing the following: retrieving phone messages from the Licensing Departmental voicemail, distribute barcodes to the Licensing Agent, sort signed licenses (publisher copies) and scan them
REQUIRED KNOWLEDGE/SKILLS:
BA or BS Degree in Accounting, Finance, Music Business or 3-5 years of experience in an Accounts Payable or Accounts Receivable position
Proficient in MS Office, primarily in MS Word, MS Excel, MS Access, MS Power Point
Proficient in AS 400
Demonstrate ability to recognize and solve problems
Ability to exercise sound judgment in evaluating situations and in making decisions
Excellent verbal and written communication skills
Ability to work in a fast paced environment
Team player/ ability to work well with others
Must be able to multi-task simultaneously while maintaining attention to detail
Ability to maintain a positive work environment and communicate in a professional manner with clients, colleagues and managers
