Administrative Assistant to Photography Manager

Responsibilities:

Assist with procedures, projects and assignments as directed by the Technical Manager
Schedule, assign and conduct beginning semester introduction class talks about Access, optimizing Access and Access policies
Research information on equipment purchases and vendor information as directed by the Technical Manager
Input of all generated purchase order onto the department purchase log spreadsheet
Maintain documentation of purchases from requisition to delivery
Communicate with Lead Technicians and Issue Room Supervisor on procedure concerning lost or damaged equipment
Responsible for tracking and charging of lost/missing equipment, generating an end of semester report for accounting
Assist in providing technical advice to faculty, staff and students on proper use of equipment and lab procedures
Assist in keeping records of departmental expenditures, receipts, warranty information, equipment manuals, etc
Communicate with photographic suppliers and vendors as needed
Assist in tracking and ensuring that minor repairs on equipment are completed by communicating with the repair manager
Assist the technical manager with preparing and tracking the department budget
Other related duties as assigned by the Technical Manager and Department Director

Requirements:

Degree preferred, but we will consider candidates with a strong background in photography and photographic equipment
2 yr. minimum previous administrative experience required
Must be proficient with Adobe Photoshop CS, Mac OSX and Windows PC
Must be proficient with Microsoft Office and experience with software inventory database is preferred
Experience with purchase orders and inventory management
Ideal candidate will be articulate, attentive and takes initiative
Must be able to multitask, organized and detailed oriented
Ability to work in a fast-paced environment
Excellent verbal and written communication skills
